The proposal is sent. The conversation is not over.

Sales follow-up should help the customer decide. Before writing another message, establish what was agreed and which question still needs an answer.

Start here

A useful message recalls the context, adds relevant information and suggests a clear next step. Your CRM should show who owns it and when to stop.

Before the email, look at the conversation.

Follow-up means continuing a contact after an interaction: a meeting, an enquiry or a proposal. Its purpose is to carry forward what was discussed. It is not a mandatory sequence of messages until someone responds.

Check three things: the problem the person wants to solve, the agreed next step and when it makes sense to return to the subject. If you did not agree a date, suggest a reasonable one for that context. There is no universal schedule suited to every purchase.

The examples below are original, illustrative templates for sales conversations that have already started. Replace the fields in brackets and adapt the tone to the relationship. They are not customer messages or campaign results.

1. After a meeting.

The aim is to confirm a shared understanding, so people do not leave with different expectations of what happens next.

Hi (name),

Thank you for the conversation. We agreed that the priority is to understand (specific problem) and assess (scope discussed).

On our side, we will (action) by (agreed date). To move forward, we still need (necessary information).

Does this summary match what you had in mind?

Avoid asking for documents you do not need yet. If information is sensitive, agree an appropriate channel rather than adding it to an email thread.

2. When the proposal needs a decision.

Return to a real point from the conversation. Avoid a message that only asks whether the person has seen the attachment and leaves all the work to them.

Hi (name),

The proposal starts with (first intervention), because we identified (problem discussed).

What would help you make a decision: more detail on the scope, the implementation approach or the investment?

If useful, we can talk through that point briefly. If your timing has changed, let me know and we can adjust the follow-up.

The question must reflect what you actually offer. Do not invent urgency, limited availability or special conditions to force a response.

3. When it makes sense to leave the door open.

If the project is no longer a priority, clarify the opportunity’s status. Keeping every contact active indefinitely makes it harder to see where the team should focus.

Hi (name),

I wanted to check whether (project) is still a priority. If you prefer, we can leave it here and you can get back in touch when the timing is right.

Is there any information from us that would still help you decide?

If the person has already declined or asked not to be contacted again, respect that request. Do not send another message merely to complete a sequence.

The email is only part of the follow-up.

Your CRM and automations should help the team see the state of the work. After each interaction, record only the context you need:

  • The opportunity’s owner.
  • The problem and scope discussed.
  • The last relevant interaction and what was agreed.
  • The next action, with a date where agreed.
  • The reason to wait, close or stop contacting the person.

You can automate tasks and reminders. If you use AI to draft a message, check names, dates, amounts and commitments before sending it. An incoming reply should interrupt or change the planned sequence.

To assess the process, look at opportunities without a next action, overdue tasks and replies that clarify a decision. Do not choose a message only by its open rate: what matters is whether it helped the conversation move forward appropriately.
